TTCAA – Clerical Assistant – Duties and Responsibilities

 

The salary for the Clerical Assistant position is $4721.00.

Two month contract

 

The duties and responsibilities would be as follows:

  • Organize and maintain confidential and operational records and files; 
  • Maintain the Division’s schedule by maintaining calendar; arranging meetings, conferences, teleconferences and travel; 
  • Record minutes and submit minutes for approval; 
  • Provide receptionist services; 
  • Prepare statistical reports on resources including personnel, supplies and equipment; 
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; 
  • Assist in providing administrative support to ensure that  Operations are maintained in an effective, up to date and accurate manner. Main Activities include: 
    • Type Correspondence, Memoranda, Requisitions, Board Notes Reports and other documents; 
    • Maintain office files; 
    • Take and distribute minutes of meetings. 
  • Perform related tasks as necessary. 

REQUIRED QUALIFICATIONS, EXPERIENCE & SKILL: 

  • 5 GCE/CXC O’ Level subjects including English Language and Mathematics. 
  • Certificate in advanced Computer Literacy including Microsoft Office Suite. 
  • Excellent Reporting Skills, Administrative Writing Skills, Managing Processes, Organization, Analysing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication.
